Protect Your Focus Like You Protect Your Site: Reclaim.ai
Most HSE professionals are not struggling with “lack of knowledge.”
We are struggling with calendar overload – meetings, incident follow-ups, audits, action trackers, training plans, management reporting. That overload quietly increases risk: rushed reviews, missed follow-ups, late-night reporting, and decision fatigue.
This week, let’s use a personal productivity tool that is premium-grade, but still practical for everyday use.
The tool: Reclaim.ai (Freemium + Premium)
Website: https://reclaim.ai
Pricing page: https://reclaim.ai/pricing
Reclaim.ai connects to Google Calendar or Outlook Calendar and uses AI rules to:
Automatically protect Focus Time (deep work)
Auto-schedule tasks/habits around real-world meetings
Reduce calendar chaos by continuously re-optimizing the week
For leaders who care about security/compliance: Reclaim states it is SOC 2 Type II certified.
Why it fits HSE professionals (personal productivity, not “team tools”)
Because our work has “invisible” tasks that decide safety outcomes:
– reviewing risk assessments properly
– closing corrective actions
– reading incident trends before the meeting
– preparing audit evidence
– writing training material with real examples
If we do these in leftover time, quality drops.
1) Weekly “Audit & Compliance Deep Work” that cannot be eaten by meetings
Goal: Ensure reports and evidence packs are not rushed.
Connect Reclaim to your Google/Outlook calendar.
In Reclaim, create a Focus Time goal (example: 6 hours/week).
Set preferred windows (example: Sun–Thu, 9:00–11:00).
Turn on auto-defend / auto-reschedule so if a meeting lands, Reclaim finds the next best slot automatically.
Add categories like “Audit Prep”, “Incident Review”, “Training Design” to keep focus blocks intentional (not random).
Outcome we get: Our calendar starts reflecting our responsibilities—not other people’s priorities.
2) Stop corrective actions from becoming end-of-month panic
Goal: Close actions consistently without chasing deadlines.
Create a recurring task block called “Close HSE Actions (CAPA)” (example: 45 min daily).
Mark it as flexible so it can move when emergencies happen (which they will).
Add “buffer time” (15 min) before high-stakes meetings so you are not switching context from site issues to leadership calls.
Review once a week: what moved too often? That is your real bottleneck.
Outcome we get: Better closure rate and less “urgent” firefighting at month-end.
3) Protect training design time for instructors and consultants
Goal: Create higher-quality training content without weekend work.
Create a habit: “Training Build Time” (example: 3 sessions/week × 90 min).
Set rules: schedule only in your peak energy window (example: mornings).
Reclaim has integrations with tools many professionals already use (e.g., Asana/Jira/Slack), so tasks can become scheduled calendar blocks instead of staying in a list.
If we want better safety decisions, we need better thinking time.
Let’s try Reclaim.ai for one week and measure one thing: hours of uninterrupted focus protected.
If it works for us personally, only then we scale it to the team.
