Most HSE teams do not fail because we lack observations.
We struggle because actions are scattered across WhatsApp messages, Excel sheets, meeting notes and someone’s “I will do it tomorrow” memory system.
This week, let’s explore Taskade, a freemium AI workspace where we can create projects, checklists, boards, dashboards, AI agents and simple workflows without coding.
Taskade currently offers a free plan with limited AI credits, and it supports different project views such as List, Board, Table, Calendar, Mind Map, Gantt and Org Chart.
Taskade is not a dedicated HSE software.
But we can adapt it smartly for routine HSE planning, action tracking and team follow-up.
How can we use Taskade in HSE?
HSE Observation & CAPA Dashboard
We can create a simple dashboard with these columns:
Observation ID | Site Area | Hazard | Risk Level | Corrective Action | Owner | Due Date | Evidence | Status
Example workflow:
Open Observation → Action Assigned → In Progress → Evidence Submitted → Verified → Closed
This can help supervisors and HSE teams track whether actions are actually moving, instead of aging gracefully like museum artifacts.
> Trial prompt for Taskade:
Create an HSE Observation and CAPA dashboard for an industrial site. Include fields for observation ID, location, hazard category, risk level, corrective action, action owner, target date, evidence required, status, and closure verification. Create Board, Table and Calendar views.
Audit Closeout Dashboard
We can create a dashboard for internal audits, ISO 45001 audits, contractor audits or site walkdowns.
Suggested columns:
Audit Finding | Standard / Requirement | Risk Priority | Corrective Action | Responsible Person | Target Date | Evidence | Verification Status
Taskade already has safety and compliance-related templates such as Health and Safety Meeting, Office Risk Assessment Checklist and Environmental Compliance Checklist, which we can adapt for HSE work.
> Trial prompt for Taskade:
Create an HSE audit closeout dashboard for ISO 45001 and site safety audit findings. Include finding number, clause/reference, risk level, required action, responsible person, due date, evidence, verification comment, and closure status.
Training Compliance Dashboard
We can use Taskade to track mandatory HSE training.
Example fields:
Employee / Contractor | Department | Training Required | Completed Date | Expiry Date | Refresher Due | Certificate Evidence | Status
Useful for:
Site induction
PTW training
Confined space entry
H2S awareness
LOTO
Firefighting
First aid
Defensive driving
> Trial prompt for Taskade:
Create a training compliance dashboard for an HSE team. Track employee name, department, training title, completion date, expiry date, refresher due date, certificate evidence, and compliance status. Add reminders for upcoming expiry dates.
Weekly HSE Action Board
We can also use it for weekly HSE team planning.
Board sections can be:
This Week | Site Inspection | Training | Audit | Incident Follow-up | Management Review | Completed
This is useful for HSE managers, supervisors, auditors and consultants who want one clean view of weekly priorities.
Important safety and data note:
Taskade is cloud-based. So we should use it wisely.
Use it for routine planning, action tracking, meeting follow-up and dashboard creation.
Avoid uploading confidential incident evidence, employee medical records, disciplinary documents, legal investigation notes, plant security information or client-sensitive data unless your company has formally approved its use.
Taskade states that it uses security controls such as encryption at rest and in transit, role-based access and SOC 2 compliance information on its security page. Still, our company policy comes first.
Why this matters for HSE professionals
A good HSE dashboard should not only look neat.
It should help us answer five basic questions:
What is open?
Who owns it (action item assigned to)?
When is it due?
What evidence is required?
Has it been verified before closure?
That is where a tool like Taskade can help us.
Not by replacing HSE judgement.
But by reducing scattered follow-up and making accountability visible.
Let’s use AI to bring more discipline into safety execution, not just more decoration into reports.
