Most of us already use ChatGPT to ask questions, rewrite emails, explain concepts or brainstorm ideas.
But OpenAI has now added a separate Work experience for something different:
Chat is for getting an answer.
Work is for getting the work done.
OpenAI introduced ChatGPT Work in July 2026 as an agent for longer, multi-step tasks.
What is Chat?
We can use Chat when we need quick conversational assistance:
* Ask an HSE question
* Explain a regulation or concept
* Improve an observation report
* Brainstorm toolbox-talk ideas
* Summarise a short document
* Search for information
* Draft an email
We ask.
ChatGPT responds.
We continue the conversation.
Simple.
Then what is Work?
Work is designed for tasks that require several steps before reaching a finished outcome.
Instead of only answering our question, it can work through the task, use files and connected information where permitted, analyse material and produce finished deliverables such as:
Documents
Spreadsheets
Reports
Presentations
Sites
We can also watch its progress, provide additional information, change direction and approve important actions while it works.
That is the important difference.
CHAT
“Tell me how to analyse these incident records.”
WORK
“Analyse these incident records, identify trends, prepare charts, create a management report and produce a presentation summarising the findings.”
Same AI ecosystem.
Very different level of delegation.
How can we use Work in HSE?
1️⃣ Incident Data → Complete Management Review
Imagine we have an Excel file containing 12 months of incidents.
We can give Work:
Incident register + hours worked + departments + locations
Then instruct:
Analyse this incident dataset. Verify the data first. Identify recurring incident types, locations and departments. Calculate applicable indicators only where sufficient data exists. Create charts, highlight significant trends and prepare a concise monthly HSE management report. Do not invent missing information.
Instead of separately:
analysing Excel → creating charts → writing Word report → preparing PowerPoint…
Work can help us complete the whole workflow.
We still verify every HSE calculation and conclusion.
2️⃣ Audit Findings → CAPA Tracker + Report
Upload:
* Audit report
* Findings
* Previous CAPA tracker
* Relevant procedure
Then ask:
Categorise the findings by risk and topic. Create a corrective-action tracker with finding, action required, owner, target date, evidence required and verification status. Then prepare a management summary of recurring gaps.
This is where Work becomes much more interesting than ordinary chat.
3️⃣ Procedure Revision Comparison
Upload:
Old Procedure + Revised Procedure
Then ask:
Compare both versions. Create a change matrix showing added, removed and modified requirements. Highlight changes affecting responsibilities, competency, PPE, permits, emergency arrangements and documentation.
That can save considerable time during procedure revisions and Management of Change reviews.
4️⃣ Recurring HSE Work
One particularly useful feature is Scheduled Tasks.
Work can perform tasks once, on a recurring schedule, or monitor for changes where the required tools and permissions are available.
For example, we could potentially create recurring workflows such as:
Every Monday:
Review approved HSE data and prepare the weekly action summary.
Every month:
Analyse the updated CAPA tracker and highlight overdue high-risk actions.
Periodically:
Check approved information sources for changes and prepare a summary for review.
The professional remains in control of what Work can access and when approval is required.
Why did ChatGPT need a separate Work mode?
Because asking a question and completing a project are fundamentally different activities.
A normal conversation might take:
Prompt → Answer
Professional work often requires:
Understand → Research → Analyse → Create → Check → Revise → Deliver
Work is designed around that longer sequence.
For HSE professionals, this could mean spending less time moving information manually between Excel, Word, PowerPoint and browser tabs, and more time reviewing whether the final output actually makes sense.
Is Work free?
Currently, ChatGPT Work is rolling out to eligible paid ChatGPT plans.
OpenAI states that Work is available on web and mobile for paid plans except Free and Go, with availability expanding gradually across eligible accounts.
Therefore, someone may have an eligible subscription and still not see Work immediately during the rollout.
Work also has usage limits. The amount consumed varies depending on how complex and long the task is.
So:
ChatGPT Free / Go → ❌ Work currently not included
Eligible paid plans → ✅ Work, subject to rollout and usage limits
If the Work option is not visible yet, that does not necessarily mean anything is wrong with the account.
🔐 One important HSE reminder:
The ability to process more information does not mean we should upload everything we possess.
AI can execute more of the workflow.
Responsibility does not get delegated with it.
Before using “Work” with company information:
✅ Follow company AI and IT policies
✅ Remove unnecessary personal information
✅ Obtain approval for client-controlled documents
✅ Verify calculations and technical conclusions
✅ Keep competent-person and document-control approval
Avoid casually providing:
❌ Employee medical information
❌ Confidential investigation evidence
❌ Security-sensitive facility information
❌ Client-restricted documents
❌ Passwords or credentials
