Most HSE meetings do not suffer from a lack of discussion.
They suffer from missing notes, unclear responsibilities and action items that quietly disappear after everyone clicks “Leave Meeting.”

This week, let’s explore tl;dv, a freemium AI meeting assistant for Microsoft Teams, Zoom and Google Meet.

It can record approved meetings, create transcripts, prepare summaries, identify key discussion points and capture action items. It currently supports transcription in more than 30 languages.

How can we use it in HSE?

Weekly HSE meetings

Step 1: Inform participants and obtain permission to record.
Step 2: Allow tl;dv to join the online meeting.
Step 3: Conduct the meeting normally instead of typing every sentence.
Step 4: Review the generated summary and action points.
Step 5: Transfer confirmed actions, owners and deadlines into our official action tracker.

This can help us focus on the discussion while still maintaining a searchable record.

Audit closing and management-review meetings

During an audit closeout, tl;dv can help us capture:

We can also search the transcript for terms such as PTW, LOTO, contractor safety, training compliance or overdue actions.

The final audit minutes must still be reviewed and approved by a competent person. AI-generated notes are supporting material, not controlled audit evidence.

Is it free?

tl;dv currently offers a Free Forever plan with meeting recording, transcription and AI-generated notes. The official privacy policy states that recordings and transcripts belonging to free users are retained for three months. Advanced controls, integrations and team features are available through paid plans.

Is it safe to use?

According to the company, tl;dv is GDPR compliant and SOC 2 Type II compliant, uses encrypted connections and AES-256 storage encryption, and does not use customer meeting data to train its AI models.

However, we must still:

✅ Follow company IT and recording policies
✅ Verify names, numbers, equipment tags and technical terms
✅ Keep sensitive meetings out unless formally approved
❌ Avoid confidential incident evidence, medical records, disciplinary discussions and security-sensitive plant information without authorization
